Vestry Meeting St. Paul’s Episcopal Church, Benicia Tuesday April 16 at 7:00 PM

Call to Order 7:01 pm  
Present:   Beth Gaines, (Deacon) Del Baker Medlock (Treasurer), Rev. Annie Pierpoint Mertz, Heather Healy, Barbara Jewell, Charlie Kilbourne, Kim Rodekohr, Mark Sally, David White, Betsy Zampa (Clerk), Giovanna Zampa (Guest) Absent: Yann Jouvenot-Sells, Ken Nowinski, Bill Smiglewski Kim shared an opening meditation about taking a moment to re-center ourselves and breathe when dealing with stress.   Consent Calendar A motion was made by Barbara and seconded by Mark to approve the Vestry Minutes of March 19, 2019.  Motion passed unanimously.  
Treasurer’s Report for March 2019 –Mark requested that going forward the Vestry would like to have year to date figures in addition to the monthly figures.   Annie noted that there appeared to be a typo in the Chart of Accounts.  Specifically, that Communication Coordinator should be corrected from 5131 to 513.2.      A motion to was made by Barbara to approve the Treasurer’s Report as corrected. Seconded by Kim. Motion passed unanimously.

  • Rector’s Report – See attached.

  Rev. Annie reported that a Newcomers Class led by Mark Sally will begin on May 4th . Annie will be attending a Celebrating Bishop Barry Event on May 11th Annie will attend Clergy Conference May 20-23rd Beckie and Annie have been working on this summer’s KVA and it has been decided that Joy Story will be theme this year.  

  • Deacon’s Report – Rev. Beth Gaines – Beth has been working with Benicia Community Congregational Church on an event which will take place on May 19th at 12:30 at Benicia Community Congregational. This event focuses on providing resources and information for care givers or folks that might become caregivers. The community is invited to this event.

 

  • Senior Warden’s Report–Barbara Jewell – See attached

  Barbara would like to refer the proposals to fix the stained-glass windows to the Historic Trust.  The Vestry agreed.    Community Meal- Debi has written up a job description. It looks like the job could/should be shared by three gifted people. Debi will share a reflection at Easter Vigil about her experience as the coordinator and how she experienced resurrection in her life as a result of her service as coordinator of the Community Meal.  

  • Junior Warden’s Report—Kim Rodekohr – See attached

  Of concern is that the shed has dry rot and needs a new roof. It was agreed that time should be allotted on the agenda next month to prioritize projects.  

  • Party of Parties – Yann Jouvenot Sells – Yann on family vacation. (Note:  Be sure to check the school Spring Break schedule next year as many parents with young children take vacations this week.)

  Discussion about repackaging the fundraiser by attaching it to specific ministry instead of simply deficit reduction.  There was some concern about a big gala event lacking the intimacy of the smaller parties where people connect and get to know one another better.  There was a suggestion of giving 4 medium sized parties that would appeal to different groups.   Special Reports/Discussion Items

  • Next Meeting Date: Annie proposed having the next Vestry Meeting on May 14th as she will be at a clergy conference on May 21st.  It was agreed that the next Vestry meeting will take place on May 14.  

 

  • Proposal: Youth Advisory Position on Vestry

Annie moved that the Vestry create a position known as the Youth Advisor to the Vestry.  This is an ad hoc position which is appointed by the Vestry by majority vote.  Should a parent of the appointed Youth Advisor be on the Vestry at the time of the appointment, he/she shall abstain from voting on the appointment.  The Youth Advisor shall have a voice but no vote. Mark seconded the motion and it was passed unanimously.

  • Annie moved that the Vestry appoint Giovanna Zampa as Youth Advisor to the Vestry through the date of the Annual Meeting in January 2020. Barbara seconded the motion and it passed unanimously.

 

  • Proposal: Art’s Continuing Access to EFONC Account Information & Treasurer Emeritus Status

  A motion by Annie that the Vestry authorize Art Schipper continuing access to EFONC as a resource and a layer of redundancy.  Seconded by Dave White.  Passed unanimously.   A motion was made by Annie and seconded by Mark to make Art Schipper Treasurer Emeritus of this parish. Passed unanimously.    

  • Endorsement of Candidacy for Holy Orders for Grace Flint

The endorsement was signed by all Vestry member in attendance, Rev. Annie & Betsy Zampa, Clerk.  

  • Proposal: Pro-Life Music Video filming – request for space use – The Vestry felt it was not a good use of our sanctuary – request denied.

 

  • Proposal: Gap in Delegate rotation
    • Rotating off Jan. ’20: Robin Silver
    • Rotating off Jan. ’21: Jackie French & Dawson Urban
    • Rotating off Jan. ’22:
    • Rotating off Jan. ’23: Anne Seed & Lydia Kennedy
    • Rotating off Jan. ’24: Katie McGovern
    • Alternate delegates (in vote order): David Sells, Judy White and Kim Rodekohr. 

The sense was that the Vestry felt we can deal with the gaps as the occur.  

  • Fall Stewardship – TENS Conference (The Episcopal Network for Stewardship)- Annie is attending this conference via Skype. Dates are April 30, May 1, and May 2.  Seeking a Vestryperson who might be interested and available to “attend” with her.

  Annie stated that Stewardship will be launched in the fall as a one -year drive.  She’d like the chairperson to be a vestry member and would like to identify that person before summertime  

  • Welcoming Newcomers Brainstorm –Annie expressed gratitude to the vestry hosts who welcome everyone each week and remind the new folks to fill out the blue cards. She reminded us all engage with people we don’t know as it goes a long way in making folks feel welcome.
